Strategic Public Consultations from A to Z

Our activities cover the entire process – from analysis and development of the objectives to the final public consultation report, including a table of collected comments and conclusions, and its evaluation. We ensure that each project is coherent, effective, and consistent with the client’s objectives, most often defined in the Description of the Subject of the Order, as well as with European Union guidelines and the expectations defined by the Client during the planning phase.

As part of public consultations, we provide:

1. Creating a consultation concept and strategy.

This is the first step in the PR and event process. We develop a comprehensive public consultation concept that will not only satisfy the Client but also meet all accessibility and transparency requirements. We select appropriate tools, channels, and methods for participation. We are familiar with in-person meetings, online meetings, and live broadcasts on social media or other appropriate platforms. We have experience in developing a detailed stakeholder outreach strategy to ensure that no one misses this important event. Furthermore, we design our activities in accordance with the project’s objectives and European Union standards. Throughout the project, we work closely with experts who answer all our questions as needed.

2. Designing and conducting activities.

Once we’ve finalized all the details with the Client to ensure both quality and aesthetics meet their requirements, we move on to the practical part of the project. First, we create informational and educational materials. These are agreed upon with the Client, and our company refines the text and graphics to meet the Client’s expectations. In this phase, we also focus on branding, visual identification, and communication, ensuring they are consistent and in line with the Client’s or project’s image. Additionally, we design and print forms and surveys. Our role is also to review the topics of debates, workshops, and meetings to ensure everything runs smoothly on the day of the consultation. We also moderate and manage consultation meetings. We are always on-site to provide assistance.

3. Reaching target groups.

As the consultation period approaches, we work to disseminate information about it. We conduct online and offline information campaigns to ensure the widest possible reach for the event. Each stakeholder group receives special attention, and we use targeted communication to reach them. This allows each target group to submit comments and proposals for the project, and their participation is not dependent on finding information on websites they don’t normally visit. We meet their needs by reaching out to them. We have ways to increase attendance and engagement in consultations, ensuring that each of our events is successful and highly rated by both stakeholders and clients.

4. Implementation in accordance with the Description of the Subject of the Order and EU requirements.

We prepare each project to meet:

• formal requirements described by the Client in the Description of the Subject of the Order

• requirements of EU documents, laws and guidelines and standards of accessibility and transparency
  

5. Reporting and analytics.

After the consultation, we support the Client in completing the project. We prepare a summary report that meets the Client’s and the European Union’s expectations. Finally, if necessary, we recommend further action.
